How to email HR about a job without sounding desperate

GeeksFinder Desk, reviewed by ABHISHEK ASHOK SUPEKAR · 23 Oct 2026

Finding an off-campus job as a fresher often requires reaching out directly to recruiters through email. When you send a cold message, the goal is to make it easy for HR to read, assess, and reply without feeling pressured or annoyed.

Structure the email with a single objective

Your cold email should take less than thirty seconds to read. Avoid long introductions about your career aspirations or emotional pleas about needing a job. State your graduation background, your primary technical skill, and the exact role code you are applying for in the first two sentences.

Keep the body to three short paragraphs. The first paragraph establishes context, such as your college degree completion. The second paragraph highlights a relevant project or core skill. For instance, if you built a project using Python or JavaScript, mention that specifically. The final paragraph provides a direct call to action, asking if they have ten minutes for a brief call or if they can point you to the right hiring manager.

Write subject lines that get opened

Recruiters scan their inboxes and ignore vague subject lines like 'job seeker' or 'urgent fresher opening'. Your subject line must include the exact role title and your graduation year so the recruiter knows the context immediately.

Use clear formulations such as Application for Graduate Role - [Your Name] or Referral Request - Java Developer Position. Avoid using all caps, exclamation marks, or words like plea or urgent. A professional and descriptive subject line respects the time of the hiring team and increases your open rate.

Know when to attach your resume

Always attach your resume as a single PDF file named professionally, such as Firstname_Lastname_Resume.pdf. Never paste your entire resume text directly into the email body, as it clutters the message.

Only include links to your portfolio, GitHub repository, or LinkedIn profile if those links contain actual work projects. If you are applying for roles requiring specific tools, make sure your resume clearly lists them. Of the fresher jobs on GeeksFinder this month, Python, Excel, JavaScript, CRM, Google Sheets, Java, SQL, and Git appeared frequently as required skills. If you have practical experience in these areas, mention them upfront.

Follow up once and stop

Many freshers make the mistake of sending multiple follow-up emails every single day when they do not receive a reply. This behavior appears desperate and often results in your email address being blocked or ignored.

Wait at least five to seven business days before sending a single follow-up reply on the original email thread. Keep the follow-up message polite and brief, stating that you are checking in on your previous application. If there is still no response after that single follow-up, accept that the position may be filled or the recruiter is unavailable, and move on to other openings. Check with company HR departments regarding their specific application policies if terms are unclear.
